Privacy Policy

The MVA Organization (the Organization), recognizing the importance of privacy, strives to protect personal information according to the following policy.

Personal information means any information on an individual such as name, address, phone number, email address, affiliation, through which the individual can be identified. It also designates such information that can easily be correlated with other data to identify the individual, even if it by itself is not sufficient for such identification.

  1. The Organization abides by the laws and other rules on the protection of personal information.
  2. The Organization takes necessary preventive and corrective measures against unauthorized access to personal information, as well as the loss, destruction, alteration, and leak thereof.
  3. The Organization uses the collected personal information only in accordance with the purpose of such usage delineated in the privacy policy.
  4. The Organization continuously reviews and improves its compliance program.

Collection of Personal Information

The Organization collects personal information of the following individuals at the international conferences it organizes:

  1. Speakers, potential speakers, and other participants of the MVA conferences.
  2. Individuals that made inquiries about the conferences.

Purpose of the Usage of Personal Information

The Organization may use the personal information it collects at the international conferences it organizes for the following purposes:

  1. Confirming registration to the conference, communicating in relation with the conference, mailing documents, and billing charges.
  2. Conducting surveys on the conference to which the individual registered and reporting the result of such surveys.
  3. Sending invitations for participation to the conferences.

Furnishing Personal Information to Third Parties

The Organization does not furnish the collected personal information of an individual to third parties without the individual's consent, except for the following cases:

When the individual requests information on, orders to, or applies to a company or organization through the Organization, necessary personal information may be forwarded to the company or organization.

In settling charges such as the conference fee, personal information may be exchanged with financial institutions.

When required by law, or when it is deemed necessary in order to secure the rights, property, or safety of the Organization and/or participating individuals, personal information may be disclosed.

Management of Personal Information

The Organization manages the collected personal information under exacting standards, taking security measures against its loss, leak, or abuse.

When the Organization entrusts an outside entity with the management of personal information, it forbids the entity any out-of-purpose use or disclosure of personal information by means such as a non-disclosure contract.

The conference website contains links to outside sites. The Organization is not responsible for the protection of personal information by the linked sites(Except for the link from "Paper Submission").

Correction of Personal Information

The Organization strives to manage the personal information as accurately and as up-to-date as possible. When requested by an individual, it discloses the collected personal information on the individual. When informed of any incorrectness, it adds, edits, corrects, or deletes the information as necessary, upon confirmation.

About Cookies

The conference website does not use cookies except during paper-submission sessions. A cookie is a small data transmitted from a website to user's browser and automatically stored in the hard disk. During a paper-submission session, the server uses cookies for controlling session IDs. However, it only stores a session identification number in the cookies; no personal information is stored such as login ID, mail address, or password.

The Organization stores information on the person who accesses its website in the form of an access log. Although the access log contains the domain name and the IP address of the accessing party, the kind of browser used, and the date and time of the access, it does not contain any information that can identify individuals. Access logs are used to maintain and manage the website, as well as for the purpose of statistical analysis of site usage, but for no other purposes.
