Registration
- Please drop by at the registration desk located at the 4th floor lobby when you first arrive at the venue.
- The registration desk will be open during the following hours:
- July 22 (Saturday): 16:00-17:00
- July 23 (Sunday): 9:00-17:45
- July 24 (Monday): 9:15-18:15
- July 25 (Tuesday): 9:15-16:30
- Participants registered as students should present their student IDs at the registration desk.
- We will provide name cards at the registration desk, so please always wear them during the Conference including social events (They will serve as entry passes).

Presentation instructions
Oral presenters
- Please bring your own computer with an HDMI port. If you do not have an HDMI port, be sure to provide your own appropriate conversion adapter. HDMI connection to 4:3 / 16:9 screen and audio also can be transmitted through the HDMI cable. 100V AC power (Type A plug) is provided.
- Please present yourself to the session chair 10 minutes before the session starts and test your connection.
- You will have 15 minutes for presentation and 5 minutes for Q&A.
- Oral presenters are not asked to present posters.
Poster presenters
- Please bring your poster (We do not provide printing service or online poster facility).
- Please post your poster at the latest before your poster session. If you wish, you will be able to post it after 16:00 on July 22.
- Do not forget to remove your poster before 13:00 on July 25. Please do not dispose of the poster in the trash boxes in/around the venue.
- The 1 min. videos will be presented at the beginning of each poster session in the main conference room prior to the poster presentations in the poster room.
Questions on Slack
- Each session has a dedicated channel on the Conference Slack. Please respond to questions posted there that were not answered during the session.
Participation

- We will start providing information before the conference starts, so please join now!
- From now on, please ask questions through the Conference Slack rather than by email.
- The primary mode of participation is onsite at the venue, but we will broadcast invited talks and oral sessions online (Details will be announced later on the Conference Slack).
- For those participating online, you may ask questions via the Slack channel prepared for each Session. For an oral session, the chair will speak out the posted questions. Unfortunately, we cannot provide interactive oral discussions.
- Online Q&A for poster papers whose authors could not join onsite due to unavoidable reasons.
- We will provide a Zoom breakout room for such papers during the poster session (Details will be announced later on the Conference Slack) so that the participants can ask questions online. Please note that we will not provide online presentation options for posters, so please watch the 1 min. video instead.
Proceedings
- Online proceedings will be available to participants during the conference.
- The URL will be announced on the Conference Slack. Official proceedings will become available after the conference on IEICE Archive and IEEE Xplore.
Social events
Welcome reception
- We welcome all participants (including students) to join the Welcome reception. When: July 22 (Saturday), 17:00-19:00 (May close earlier depending on demand) Where: Room 41 Light meal with refreshments will be served.
Banquet
- We welcome all participants (including students) to join the Banquet.
- When: July 24 (Monday), 19:00-22:00
- Where: The Abbey Church (1-8-3 Chuo, Naka-ku, Hamamatsu)

- For those who wish to be guided, please gather around the registration desk after the Oral 2-3 Session. We will leave at around 18:30 towards the venue.
- For those who wish to purchase an extra ticket, please consult the registration desk.
Notice
- We will provide information on the ingredients of foods provided at social events for your reference, but please decide what to eat or drink at your own responsibility. Neither the organizers nor the food suppliers can be responsible for the information provided or not provided.
COVID-19 measures
- Following the recommendation by the Ministry of Health, Labour and Welfare, for the sake of the health of you and your fellow participants,
- We recommend each participant to:
- Wash hands
- Wear a mask in congested environments.
- We ask each participant to:
- Refrain from participating onsite until both 1) 5 days after the appearance of COVID-19 related symptoms (e.g. fever, cough) and 2) 24 hours after recovering from them, have passed. Also, wear a mask until 10 days after the appearance of the symptoms.
- Wear a mask until 7 days after close-contact (e.g. living / eating together) with someone with COVID-19 related symptoms.
- In case, unfortunately, you cannot present onsite due to the above restrictions (or other health problems), please contact mva2023-sec@mva-org.jp at your earliest convenience so that we can switch you to online oral presentation / poster Q&A as long as your health condition permits.
- We recommend each participant to:
- In case you have COVID-19 related symptoms,
- Please purchase a COVID-19 test kit at a nearby drug store (Note that not all drug stores supply it) and test yourself, in case the symptoms are mild.
- Please consult a local hospital after contacting them prior to your visit, in case the symptoms are severe. Please wear a mask in case you visit a hospital.
