The registration site says the Presenter / Early Bird registration deadline is June 30th, but it has been extended to July 4th at 17:00 JST (not AoE).

  1. Even if you are a student presenter, you need to select ‘Presenter’ with your Paper ID.
  2. Upon registration, students must present their student ID at the reception desk.
  3. The registration fee for all members includes the Welcome Reception and Banquet.
  4. Timezone of deadline is JST (UTC+9).

Payment / Cancellation

Payment

All payments must be made in Japanese Yen (JPY) with a credit card through the online system.

  • Credit Card
    These credit cards (VISA / MasterCard / JCB / AMEX(AMERICAN EXPRESS)) can be used to make payment. Payment by credit card is possible only through the online system. 

Applicants will receive a confirmation e-mail when the payment is completed. No registration and/or reservation will be confirmed in the absence of this payment.

Visa

If you require a VISA, kindly visit the website of the Ministry of Foreign Affairs of Japan (Webpage) and prepare the necessary documents by yourself. The MVA2023 Organizing Committee will provide some of the documents listed below. However, please note that these documents are, in principle, for authors of papers accepted by MVA 2023.

  • Visa application forms provided by MOFA
    • Visa application form (PDF)
    • Letter of guarantee (PDF)
    • Letter of Invitation (PDF)

If you require these forms, kindly fill in the applicant information in PDF format and send them via this link. The filenames of those forms should include your paper ID. For example, visa_application_1111.pdf (where 1111 is the paper ID).

The information of the Guarantor/Inviting person in Japan will be added to the forms, and their certificate of employment will also be attached to them.

Cancellation Policy

For registration and banquet fees, a full refund can be received when cancellation is made before Jul 9. Afterwards, no refund is accdpted for cancellation.
